FF E-mail aliases on FF

An e-mail alias is an e-mail delivery address that forwards all incoming messages to the addresses of the alias members. It is useful, for example, in situations where e-mails related to a specific agenda are to be received by all authorized employees - to ensure substitutability and mutual awareness.
Important: We use groups in the Microsoft 365 (M365) environment to manage email aliases; the email address is only one of the features of M365 groups - so the following text is primarily about groups.
M365 group members can be maintained in two basic ways:
- automatically – they are automatically maintained by a rule in the appropriate MU system – the MU Information System (IS MU) is used to fulfil the group rules at the FF.
- manually – they are manually maintained by the group owner(s) in the INET system;
It is more efficient in the long run to maintain group members automatically, but it is not always possible to build a rule that reliably selects members. If you are unsure which option to choose, request an automatically maintained group - if we are unable to build a rule, we will let you know and you will then set up a manually maintained group.
Option A: automatically maintained group
You request a group by filling out a form describing in your own words the rule(s) for selecting recipients. The CIT officer will check the possibilities of setting up the rule in the MU IS; if successful, he/she will set up the rules for filling persons and transferring them to the group in M365. He/she will then set the group address to skupina@phil.muni.cz - the group owner will be the alias requester. Any changes to the person rules are made by the CIT FF on request.
Option B: manually maintained group
In this case, you create a group in the INET system and include the recipients that you continue to maintain. The owner of the group is always its founder, you can add other owners. After creation in INET, the group is transferred to the M365 and is automatically assigned the address skupina@group.muni.cz. If you want to assign a faculty address to the group, for example skupina@phil.muni.cz, you can request it directly in INET. Recommendation: you are setting up groups in a university-wide environment, so we strongly recommend that you indicate in the group name that it is an FF group, e.g. by using the prefix ff-group.
Option C: Combined maintenance group
Choose this option if you need the alias to work partially with automatically filled in groups of people, but at the same time you need to enter some addresses manually. Create a manually maintained group (option A) and then ask us to create an automatically maintained group (option B) and insert it into the manually maintained group.

- Groups can be used for other operations in the M365 environment, e.g. for sharing documents or folders.
- Technically, groups are primarily managed in the Perun identity management system, the Inet system acts as a user-friendly and familiar environment for basic group operations.
