FAQ

Who can use the service?

The service is offered to employees and PhD students of the Masaryk University, academic departments (e.g., archives, museums) as well as business entities.

What should I know before I order?

The most important information required for ordering:

  • number of books;
  • their size (we scan up to A3 max.);
  • total number of pages (including title pages and annexes);
  • preferred format of digitisation.

What size of books can be scanned?

We scan books up to the size of A3. We take maximum care not to damage the book binding

The offset between the text and the back of the book should be at least 0.5 cm. It is recommended to skim through the books and randomly measure the offset of the text. If the text is too close to the back of the book, it may be necessary to cut the book apart.

How long does it take to digitise? When will I get my book back?

Scanning may take a different amount of time, in particular, depending on the type of processing you choose. If the number of documents is larger, we recommend to expect at least three weeks, including administrative processing of your order. If you need a specific time estimate, please write to digitalizace@phil.muni.cz.

How should I deliver my books for scanning?

When you order is approved, you can (a) bring your books personally to the office for digitisation, or (b) send them by post. If you are located in Brno, we prefer personal handover of books.

What are the conditions for invoicing and payment?

For PhD students and MU employees:

At the beginning of the process, we will prepare an order with the calculated indicative price based on the information you provided. Please, send us the order with your signature and the signature of the head of your department (or a responsible individual who requested the operation). After the completion of the order, we will prepare a summary with the final price that will be deducted from the budget of your department. The summary also serves as a handover document to return the paper publications.

For other academic institutions and external parties:

At the beginning of the process, we will prepare a quotation with the calculated indicative price based on the information you provided. After the completion of the order, we will send you an invoice with the final price and, at the same time, give you a summary, which also serves as a handover document to return the paper publications.

What is OCR?

OCR or optical character recognition allows full text searching in the text and also copying the text. This service can be ordered separately or in combination with other variants of scanning B to D. When using this option, we can provide the resulting file also in a different format than PDF, e.g. DOC, RTF or TXT.
