Microsoft Copilot with Commercial Data Protection


Microsoft Copilot (previously named Bing Chat Enterprise) is a generative artificial intelligence tool. Similar to e.g. ChatGPT, Microsoft Copilot can help users with everyday tasks such as finding answers, generating new content, supporting brainstorming, generating executable code, etc.

Microsoft Copilot with commercial data protection is available for MUNI employees with a Microsoft 365 A3 licence at bing.com/chat or copilot.microsoft.com. Commercial data protection means that the data provided to the AI is protected from leaking outside of the organization, and the chat conversation is not stored or used to further train and improve the AI.

 

Microsoft Copilot is available to all MUNI students and employees with an A1 or A3 Microsoft 365 licence.

Beware of possible confusion with Microsoft Copilot for Microsoft 365 - despite the similar designation, it is not the same product (Microsoft Copilot for Microsoft 365 is not generally available to MUNI users).

Access to the Application

  1. To access Microsoft Copilot, all you need is a web browser. Microsoft Copilot should be compatible with all modern web browsers, but Microsoft recommends using the tool on Microsoft Edge or Google Chrome.
  2. To access Copilot, you can use the Chat tab on the Bing web search engine, or you can type the URL https://chat.bing.com or https://copilot.microsoft.com directly.
  3. In order to use commercial data protection, you need to sign in to Microsoft Copilot with a MUNI account (učo@muni.cz). Active commercial data protection is indicated by a green shield icon and the label Protected.
  4. In addition, latest versions of the Microsoft Edge web browser include a built-in Copilot sidebar, which can also be used to submit queries to AI. A green shield icon with the label Protected indicates that commercial data protection is active. If the user does not see this icon in the browser, they need to log in first (see step 3).

Using the Application

Using Microsoft Copilot is very simple and intuitive. The user only enters their prompt in the chat bar and in a few moments Copilot starts generating a response. The generated answers can be further developed in exactly the same way as in a chat conversation with a real person.

 

Important note: Despite a correctly formulated request, the outputs generated by Copilot (or AI in general) may not be reliable!
Th validity of the answers obtained must always be checked and revised to ensure that no misinterpretation or use of poor quality and unreliable sources of information has occurred.

What Can Microsoft Copilot Help With?

In a university environment (or in education in general), generative artificial intelligence can be used for a variety of purposes. Typical uses include:

Examples of uses How to use
Summarising information When provided with a longer text, Copilot can analyse the text and produce a summary of it (e.g. in bullet points).
Brainstorming support Help with team brainstorming, where Copilot itself can suggest further suggestions and develop the discussion.
Problem solving Solving more complex mathematical problems, providing explanations of the steps of the calculation.
Code generation Copilot's artificial intelligence is capable of generating executable code on its own based on requests from the user.
Research and finding answers Providing answers to user queries along with links to the sources used.
Faster learning Explaining complex concepts from different sciences based on easy-to-understand examples.

For all the examples given in the table above, the results obtained still need to be subjected to careful revision, as the outputs may be incorrect and unreliable!

Obtaining a Licence for Copilot for Microsoft 365

The pilot testing of Copilot for Micosoft 365 applications at the Institute of Computer Science revealed the following:

  • The current recommendation is to use the standard Microsoft Copilot (ex. Bing Chat Enterprise) available freely to all MUNI users with their Microsoft 365 A1 or A3 license.
  • Copilot for Microsoft 365 is not yet suitable for production and efficient work, mainly for the following reasons:
    • generating unsatisfactory results when analysing internal documents (e.g. directives),
    • problems with accessing different users' email inboxes and calendars,
    • unsatisfactory generation of complex formulas in Excel, and other findings.

If you are still interested in purchasing a Copilot for Microsoft 365 licence, please email licence@ics.muni.cz or submit a request through the MUNI service portal. In the request, please include the required number of licences and the UČO numbers of users to whom the licences should be assigned. Each licence can be reassigned to a different user 4 times within one year. The price of a licence for 1 user is approximately 700 CZK per month and is always paid for the entire period until the anniversary date of the contract (December). Unfortunately, monthly billing is not possible.
