How to get an Office 365 account, account Types

See the overview for an applications and features description available through the different licenses. 

Students

  • They have access to Office 365 automatically (login to the account).
  • They are assigned an A3 student license.
  • A student who is at the same time an employee still has an A3 student license.
  • They have available all the Office 365 tools and functions (view tools) except MS Bookings and the possibility to create Class Teams in MS Teams.
  • They have a license to install MS Office on a private PC and mobile device (install MS Office 365).

Student Account Life Cycle

  • The account is active during the study period. After its termination, the account remains functional for 300 days (extended life mode), but MS Office is no longer available except for the web version.
    The user is informed by e-mail about the transition to the extended life mode and the approaching end of the extended life mode.
  • The user can cancel the account in the extended life mode in INET.
  • If the user becomes a student or employee again during the extended life mode, the account is automatically restored to the standard state.
  • Upon termination of the extended life mode, the account can be transferred to the graduate account. Permission of a graduate account is possible in INET. This account contains only the Mail, Calendar, People, and Tasks applications, other applications are removed, and their data is deleted.
  • In justified cases, access to a user's M365 account may be blocked or completely revoked.

Employees (incl. DPP and DPČ part-time working agreement)

Warning: students who have an employment relationship are assigned an account as students (see above).

  • They have access to Office 365 automatically (login to the account).
  • By default, they are assigned an A1 employee license that prevents them from installing Office 365 Pro Plus.
  • They have available most of the tools and features of Office 365 (view tools).
  • In INET, they can verify the assigned license and activate/deactivate the A3 employee license.
  • If they set up an A3 license in INET, they can install Office 365 Pro Plus on a private PC and mobile device (install MS Office 365).
  • If they set up an A3 license in INET, all Office 365 tools are available (show tools).

Employee Account Life Cycle

  • The account is active for the duration of employment. After termination of employment, the account remains functional for 300 days (extended life mode), but there is no possibility to use MS Office except for the web version.
  • The user is informed by e-mail about the transition to the extended life mode and the approaching end of the extended life mode.
    The user can cancel the account in the extended life mode in INET
  • After the end of the extended life mode:
    • for employees who did not study at MU, the account is deleted, including all data. The address učo@muni.cz is redirected to the IS.
    • for employees who previously studied at MU and at the same time they allowed a graduate account in INET, the account is transferred to the graduate one. This account contains only the Mail, Calendar, People, and Tasks applications, other applications are removed, and their data is deleted.
  • In justified cases, access to a user's M365 account may be blocked or completely revoked.

Account Renewal

  • In justified cases, faculty technicians may set a longer validity for employee's account (e.g., for employees who leave MU only temporarily but for longer than 300 days). During this time, the account is in standard mode with an assigned A1 license, only MS Office applications for private devices are not available.

Graduates

  • Current and former MU students at INET can get a graduate account (login to the account). It is activated at the end of the extended life mode of the MU employee/student account.
  • Only the Mail, Calendar, People, and Tasks applications are available; other applications, including their data, are removed when switching from standard to graduate.
  • They do not have the right to install MS Office.

Graduate Account Life Cycle

  • Account life is not limited. MU may decide to terminate the provision of this service.
  • The graduate can decide to activate/deactivate the account at any time.
  • If a user with a graduate account becomes a student or employee again, the account is automatically converted to the standard mode.
  • In justified cases, access to a user's M365 account may be blocked or completely revoked.

External Users

  • External collaborators without a formal relationship with MU do generally not receive accounts in Masaryk University Office 365. Many tools they can access through the organization's Office 365 account or their private Microsoft account. If such access is not sufficient, it is possible to create a sponsored account and assign it to Office 365.

Sponsored Accounts

  • Sponsored accounts are intended primarily for external collaborators of MU employees who need to access Masaryk University Office 365 resources, and the options that can be made available for an account they have in their organizations or their private Microsoft account are not enough for them.
  • External collaborators then can access the following features and tools through a sponsored account: mailbox in Office 365 MU, own calendar and access to other Office 365 MU users' calendars, OneDrive personal space in Office 365 MU, mailbox in Office 365 Groups, and contributing to conversations in Tasks Planner, Yammer's internal group.

Sponsored Account Life Cycle

  • The validity of the account is determined for a period of expected cooperation (with a certain reserve).
    After the account expires until canceled, the validity may be changed in the sponsored accounts application.
